Committee Chairs

The committee chairperson is the go-to person for each particular event or fundraiser. If you sign up as a chairperson you will need to have the initiative to go forward and make decisions, organize people, and manage the time before and during an event. You will not, however, be alone. The executive board will show you how to get started and layout what needs to happen during the process. In some instances, the former chairperson may also be available to guide you along the way. Different events also take different amounts of commitment, so check out what is available.

Book Fairs

The Scholastic Book Fairs usually take place twice a year, for a week each time. The chair for this committee will need to coordinate volunteers to make sure someone is working the whole time the book fair is open. This person will also need to coordinate set up and take down. They will need to communicate with the company to arrange the dates so the books can be delivered. The chair will need to train volunteers on the register and/or arrange training through the company. This person will also need to handle the money, getting the counted money and register receipts to the treasurer each day, and sending in the payment at the end of the event. The book fairs are a large commitment during the weeks they are running. The chair will also have to design flyers, have them printed, and get them in the teachers' mailboxes to go home.

Box Tops/ Campbell's Label

The chair will have to design flyers to advertise the times we are doing a schoolwide push, have them printed, and get them in the teachers' mailboxes to go home. This person will have to collect the Box Tops, trim them, and count them into groups of 50s. They will have to keep track of teachers and students so that any awards can be given. They will also be in charge of collecting prizes for the winning classes and students, and distributing the prizes at the end of the competition. This chair will need to mail the items to the companies.

Concessions

This person will need a food handlers permit. This chair will be in charge of having the food and supplies necessary at each event that will be having concessions. This person will also need to make sure there is change available before the event by giving the treasurer a specific amount and time to get the change. The chair will also be in charge of coordinating their volunteers, and of cleaning up after each event.

eScrip

This chairperson will be in charge of setting up accounts for the new eScrip users. They will also need to be available on a couple of occasions to answer questions about the eScrip program.

Fall Family Fun Night

This annual event is a family favorite. The chair will have to design flyers, have them printed, and get them in the teachers' mailboxes to go home. This person also has to purchase prizes and supplies, while staying in a budget. This person has to determine which games will be played at the event, and fix or replace any games that are becoming broken down. On the day of the event, they will have to coordinate volunteers so that games are brought in and set up before people arrive, and so that each game is manned throughout the event. They will also have to coordinate clean up.

Field Day

Field Day takes place during school, so the chairperson will need to be available during the school day. This chair will need to get together with the PE teacher and the principal to coordinate games that will be used. The chair will need to work with the PTA President to book the bouncy houses. They will need to buy popsicles for the day and either store them, or buy them the morning of the event. They will also need to make sure there is water and cups. This chairperson will need to coordinate the volunteers for the event.

Fifth Grade Celebration

This chair will need to coordinate with the 5th grade teachers to provide them support where they need it. They will be the communication advocate between the 5th grade teachers and the PTA.

Food Drive

The chair will have to design flyers, have them printed, and get them in the teachers' mailboxes to go home. They will need to come to school during the actual food drive to weigh the food. They will need to keep track of the amounts and create a visual display. They will need to coordinate with administration ahead of time to determine a goal and a school prize. They will need to deliver the the collected food to the food bank.

Hockey Nights

They will need to contact the company to arrange the dates for the events, and ensure that the dates are known to the President, Newsletter Chair, and Website Chair so that the information can be added to the calendar, newsletter, and website. This chair will also need to get tickets to the families once they have purchased the tickets.

Jog-A-Thon

This chair will need to gather a committee and coordinate their efforts. They will need to start early! The chair will have to design flyers, have them printed, and get them in the teachers' mailboxes to go home. They will also have to print off all the items for the pledge envelopes and other information for parents and teachers. They will need to meet with the administration to coordinate activities. They will need to take up any and all activities that are not completed by a set time. They will need to have focused meetings to ensure all steps are being completed.

Membership

This chair will need to input members into the WASPTA website. They will need to mail new members their  2-for-1 card. They will need to communicate with the spirit wear and yearbook chairs the people that have package memberships so that the members get their t-shirts and yearbooks.

Movie Night

The chair will have to design flyers, have them printed, and get them in the teachers' mailboxes to go home. They will need to contact the company to arrange the dates for the events, and ensure that the dates are known to the President, Newsletter Chair, and Website Chair so that the information can be added to the calendar, newsletter, and website. This chair will also have to determine, with input, what movies will be offered, and arrange to have the license purchased for the date and movie. They will also have to ensure the facilities are ready for seating and movie projection. Finally, they will need to be there on the Movie Nights to welcome people, direct volunteers and solve problems.

Nomination

The nomination chair will be part of a three person committee. This committee is in charge of actively looking for members of the PTA who would be interested in being on the executive board the following year. They are then charged with presenting a slate of nominees before the election.

Reflections

The chair will have to design flyers, have them printed, and get them in the teachers' mailboxes to go home. They will need to collect the entries and check to make sure they follow the guidelines. They will also have to arrange for judges in each category, and then use the judges scores to rank the entries. The chair will also have to plan an event to present the students with awards, as well as presenting the awards. Finally, they need to package and send the top ranked entries to the region coordinator.

Spirit Wear

This chair is in charge of ordering and distributing the Wiley Wear. With the input of the PTA, they choose a design and can either pre-order in order to have items to sell, or they can distribute order forms. They need to keep track of items that are ordered, paid for, and delivered. They will need to be in contact with the company for orders and re-orders. They will need to be available to do some on-site sales.

Celebrating the Arts Night

The chair will have to design flyers, have them printed, and get them in the teachers' mailboxes to go home.  Work closely with Mr. Bell photographing art throught the year to upload and make available for purchase for the Wiley families.  This person will need to coordinate set up and display of the art chosen for the night of the event, including working with Ms. Barnett and our music department.  On the day of the event, they will have to coordinate volunteers. They will also have to coordinate clean up.

Staff Appreciation

This chair is in charge of the Staff Appreciation lunches. This means they will need to email the membership's most current list to get volunteers to bring in food for the lunches. They will also need to be at the lunches to set up and clean up. They will need to get supplies for drinks as well. This chair is also in charge of getting a small gift to the teachers on their birthdays, and also giving each of the staff a small token every 1-2 months as a thank you.

Talent Show

This chair will need to advertise when the Talent Show is coming up in order to give students a chance to practice. They will need to provide dress rehearsal times. The chair will have to create a list of the order the students will perform in, and make sure all props that are needed are available. They will need to advertise the talent show, and make sure the facilities are set up as needed for the event.

Volunteer Appreciation

 This chair will need to work with a team to choose an Acorn Award and Oustanding Educator Award winner. They will need to order certificates from the State PTA and have the plaques engraved. This chair will also have to purchase or make a small thank you token to be given to all the classroom volunteers at the volunteers' luncheon at the end of the year.
